Automating Sales Quoting and Tiered Customer Pricing

Executive Summary
Manual sales quote creation cost the client hours of skilled time, introducing manual entry errors. We delivered two coordinated NetSuite customizations that ingest engineer-provided CSV files, generate fully populated Quote transactions in seconds, and apply the correct customer-tier pricing automatically — with built-in guardrails to prevent unauthorized discounting.
The Challenge
Engineering teams produced item lists for each project as CSV files, which Sales Reps then transcribed into NetSuite Quote transactions one line at a time. The work was slow, repetitive, and unforgiving:
- Many quotes contained 20+ line items, with some projects requiring 1,000+ lines across multiple CSVs.
- Quote creation regularly consumed several hours of Sales Rep time, with some complex quotes taking longer than that.
- Manual entry produced incorrect quantities and rates, which then propagated into Sales Orders and invoices.
- Customer-specific pricing tiers were enforced inconsistently, opening the door to over-discounting and margin leakage.
- There was no systematic way for Sales Managers to review quotes that contained zero-priced or zero-quantity lines.
The Solution
We architected the solution as two automations that operate together but were scoped independently — so the client could realize value at each release and so each component remained maintainable on its own.
Automation #1 — Simplified Sales Quoting
A custom “Create Quote from CSV” button was added to Opportunity records, available to Sales, Field Services Sales, and Sales Manager roles. When clicked, it launches a Suitelet that lists every CSV attached to the Opportunity along with file metadata, item counts, and validity flags.

Highlights:
- Bulk “Mark All” / “Unmark All” plus per-file selection across up to 100 attachments.
- On submit, the automation creates a Quote linked back to the Opportunity, sources Company, Title, and address details, and preserves the project’s billing item from the linked Project record.
- File-name description lines separate items from each CSV so the resulting Quote is readable and audit-friendly.
- Defensive parsing skips rows without a valid Item Number, defaults blank quantities to 0 and missing rates to 0.00, and silently bypasses inactive items rather than failing the whole job.
- Supports Quotes of up to 1,000 lines without timeouts.
Automation #2 — Tiered Customer Pricing
To make the Quoting Automation safe at scale, we paired it with a pricing engine that enforces customer-specific defaults and discount caps.
Key capabilities:
- Three Pricing Tiers (Tier 1, Tier 2, Tier 3) are defined at the parent customer level and inherited by sub-customers via a recurring update.
- Tier 1 discount caps vary by customer type and override flags — for example, up to 30% for Preferred Contractors and up to 47% for Distributors with a Manual Pricing Override.
- Tier 3 is restricted to Base Price or 5% Discount, providing a hard floor on discounting.
- Server-side validation runs on Customer/Prospect saves (UI, CSV import, and Mass Update) to prevent out-of-policy tier selections.
- Line-level validation on Opportunities, Quotes, and Sales Orders blocks unauthorized Price Level, Rate, and Amount overrides — with Sales Managers retaining elevated permissions.
- The customer’s Group Pricing sublist is kept in lock-step with the header-level Tier fields automatically.
Connecting the Two
When the CSV automation adds a line to a new Quote, the Tiered Pricing engine automatically resolves the correct Price Level for that item based on the customer’s tier configuration — defaulting to Base Price when no tier applies.
A custom Sales Manager reminder surfaces any Quote that ends up with $0 lines or zero-quantity lines for review.
Results
- High Transactional Velocity: The time-consuming quote entry processes that previously stalled sales cycles for hours are now executed flawlessly in less than one minute, allowing the company to respond to market demands instantly.
- Absolute Data Accuracy: The systematic automation of data ingestion and algorithmic pricing application resulted in the 100% elimination of manual entry errors, permanently securing profit margins and enhancing customer trust.
