Executive Summary

The company Founder and CEO identified a challenge as his business was growing and needed to scale. The current process for manual customer Google usage invoice creation was highly inefficient, requiring significant hours of skilled labor. The businesses’ customer acquisitions were growing rapidly, and their existing customers were increasing their usage. This resulted in significant strain on the Billing Operations team as the creation of manual invoices was not sustainable long term. The CEO needed a resolution quickly if the business was to scale and remain efficient. We designed and built a combination of a custom NetSuite and Google Cloud solution that would aggregate customer usage and ingest detailed Customer CSV files with usage by SKU. The solution would fully automate the creation of thousands of Invoices and customer emails within hours.

The Challenge

As customer acquisition accelerated and existing clients increased their cloud utilization, the Billing Operations team faced an unsustainable workload. The legacy billing process suffered from several critical bottlenecks:

• High Operational Costs: Manually calculating and creating customer invoices consumed dozens of hours of highly skilled labor that should have been dedicated to strategic tasks.
• Data Integrity & Billing Inaccuracies: Manual data entry frequently introduced human errors, resulting in billing discrepancies and friction with clients.
• Delayed Month-End Close: The sheer increase in volume of invoices bottlenecked financial operations, consistently delaying the company's Month-End Close cycles.
• Complex Discount Logic: Applying customized discounts at the individual Google SKU level manually introduced further errors and timeline delays.

The Solution

To address these inefficiencies, a hybrid architecture combining a custom NetSuite ERP solution and Google Cloud Platform (GCP) integration was designed and implemented. This integrated system automatically aggregates comprehensive customer usage data and pushes clean data directly into the NetSuite ERP ecosystem.

• Usage Processing Layer (Google Cloud):
  
  • Automated Aggregation: A Cloud Run Function executes monthly to query raw usage metrics directly from Google Cloud.
  • SKU-Level Discounting: The system automatically applies complex discount logic at the Google SKU level, generating clean, customer-specific CSV data stored securely in Cloud Storage.
  • Data Storage and Reporting: All Customer documents stored in Cloud Storage and processed data stored in BigQuery for auditing and reporting

• Integration and Middleware Layer (Boomi):
  
  • Scheduled Data Ingestion: A Boomi process automatically retrieves the prepared CSV files from Cloud Storage.

• Custom Record Mapping: Boomi maps and pushes essential billing data into custom records within NetSuite, capturing:

  • Invoice Generation: A custom NetSuite SuiteScript is triggered to automatically cross-reference the custom usage records against active customer Sales Orders.
  • Hands-Free Billing: The script generates thousands of individual customer invoices dynamically in bulk.

• Automated Customer Delivery: NetSuite automatically emails clients their invoices, complete with PDF summary statements and itemized SKU-level CSV attachments for transparency.
• Automated Vendor Billing: The process also supported the automated creation of Google Vendor Bills split by Customer for accurate reporting
