Novelance (“Novelance,” “we,” “us,” or “our”), a California corporation headquartered in Los Angeles County, California, respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website at www.novelance.com (the “Site”) and contact us through it. This Policy is written to comply with the California Online Privacy Protection Act (CalOPPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and it applies to visitors in the United States, Canada, and elsewhere.

Novelance is an independent professional services firm providing consulting services related to Oracle NetSuite. The Site serves primarily as an informational and marketing platform.

1. Scope of This Policy

This Policy applies only to information collected through the Site. It does not apply to information collected offline, through separate signed engagement agreements with our clients, or on any third-party website that may be linked from the Site.

2. Information We Collect

We practice data minimization and collect only what we need, in line with “privacy by design” principles. Personal information is collected in two ways:

A. Information You Submit Through the Contact Form

The Site features a contact form for business inquiries. When you complete and submit the form, we collect the information you choose to provide, which typically includes:

  • Your first and last name;
  • Your business email address;
  • Your phone number (if provided);
  • Your company or organization name (if provided); and
  • The content of your message or inquiry.

We do not knowingly collect sensitive personal information, and we ask that you not include sensitive information (such as financial account numbers, government identifiers, or health information) in your contact form messages.

B. Automatically Collected Technical Data (Server Logs)

Like virtually all websites, the web servers hosting the Site automatically record standard technical log data when your browser requests a page. This automated collection includes:

  • Internet Protocol (IP) address;
  • Web browser type and version;
  • Device operating system;
  • Access dates and times, pages requested, and referrer URLs.

This log data is generated automatically for security, troubleshooting, and reliability purposes only. We do not use it to identify or track you, and we do not combine it with the information you submit through the contact form for marketing or profiling purposes.

3. No Cookies or Tracking Technologies

The Site does not use, store, or deploy cookies of any kind, nor web beacons, tracking pixels, analytics or advertising scripts, or any other online behavioral tracking technologies. No visitor profiles are created, and no third-party behavioral advertising or analytics trackers are executed on the Site.

4. How We Use Your Information

We use the personal information collected through the Site strictly for the following business purposes:

  • To respond directly to the inquiries, questions, and requests you submit via the contact form;
  • To evaluate potential consulting opportunities and establish professional relationships with prospective corporate clients; and
  • To monitor, secure, and maintain the technical integrity and performance of the Site.

We do not send marketing emails. We do not operate a newsletter, we will not add your email address to any marketing distribution list, and we do not use contact form submissions to send unsolicited marketing or promotional messages. We will only use your email address to reply to you and to correspond about your specific inquiry. We do not use personal information for automated decision-making or profiling.

5. How Your Information Is Stored and Shared

Storage. Contact form submissions are delivered to and stored in our business email inbox. We do not maintain a separate customer database or CRM for website inquiries.

No sale of personal information. We do not sell, rent, lease, or trade your personal information to anyone.

Limited disclosures. We do not share the personal information you submit with third-party marketers, advertisers, or unaffiliated commercial entities. Personal information is disclosed to third parties only in the following limited circumstances:

  • Service providers: with our email service provider and secure IT hosting providers, solely to deliver, store, and support the operation of the Site and our email, under obligations of confidentiality. These providers act as our service providers/processors and are not permitted to use your information for their own purposes;
  • Legal requirements: when required to do so by applicable federal or state law, subpoena, court order, or other legal process, or to establish, exercise, or defend our legal rights; and
  • Business transfers: in connection with a merger, acquisition, or sale of all or part of our business, in which case we will require the recipient to honor this Policy.

Because we do not use cookies or tracking technologies and do not embed third-party advertising or analytics services, no third parties collect personally identifiable information about your online activities over time or across different websites through the Site.

6. Cross-Border Transfer (Notice to Canadian Users)

Novelance is based in California, in the United States. If you contact us from Canada, the personal information you submit will be transferred to, processed, and stored in the United States by us and by our service providers. While your information is in the United States, it may be accessible to U.S. courts, law enforcement, and national security authorities under U.S. law. We remain accountable under PIPEDA for personal information transferred for processing and use contractual and other reasonable means to ensure a comparable level of protection. By submitting the contact form, you consent to this transfer.

7. Data Retention

Automatically collected technical data. Technical data collected automatically via web server logs (including IP addresses) is deleted or anonymized twelve (12) months from the date of its automated collection.

Contact form submissions. We retain contact form submissions for twelve (12) months from the date of collection, after which we delete or destroy the information, unless (a) the inquiry results in an active business discussion or engagement, or (b) we are required to keep it longer to comply with a legal obligation, resolve a dispute, or enforce our agreements. If your inquiry becomes a client engagement, information related to that engagement is governed by our separate written engagement agreement rather than this Policy.

8. How We Protect Your Information

We maintain reasonable administrative, technical, and physical safeguards designed to protect the personal information we hold against loss, theft, and unauthorized access, disclosure, alteration, or destruction. These measures include transport-layer encryption (SSL/TLS) on the Site, access controls on our email accounts, and reliance on reputable service providers that maintain their own security safeguards. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

9. Do Not Track Disclosure (CalOPPA)

“Do Not Track” (DNT) is a preference you can set in your web browser to signal that you do not want your online activity tracked. Because the Site does not use cookies or any tracking technologies and does not track visitors over time or across other websites, there is no tracking to disable, and the Site does not modify its behavior in response to DNT signals. We also do not permit other parties to collect personally identifiable information about your online activities over time and across different websites when you use the Site. This disclosure is provided in accordance with the California Online Privacy Protection Act (Cal. Bus. & Prof. Code § 22575(b)(5)–(6)).

10. Your Privacy Rights

10.1 Access and Correction (All Users)

You may request access to the personal information we hold about you, and you may ask us to correct information that is inaccurate, outdated, or incomplete. To make a request, contact us using the details in Section 13. To help us locate your information and protect your privacy, your request should include:

  • Your full name and the email address used in your original submission; and
  • A clear description of the information you wish to review, correct, or delete.

We will take reasonable steps to verify your identity before granting access or making changes, and we will respond to verified requests within thirty (30) days of receipt, at little or no cost to you, in accordance with applicable laws.

10.2 Withdrawing Consent

Where our processing is based on your consent, you may withdraw that consent at any time by contacting us, subject to legal or contractual restrictions and reasonable notice. If you withdraw consent, we will stop using your information for the purposes to which you object and will delete it where appropriate.

10.3 Canadian Users (PIPEDA)

PIPEDA is built on ten fair information principles, and we handle your personal information in accordance with them:

  • Accountability — We are responsible for the personal information under our control and have designated a Privacy Officer (see Section 13).
  • Identifying Purposes — We identify why we collect information at or before the time of collection (see Section 4).
  • Consent — We collect, use, and disclose your personal information with your knowledge and consent. By submitting the contact form, you consent to our use of your information to respond to your inquiry.
  • Limiting Collection — We collect only the information necessary to respond to your inquiry.
  • Limiting Use, Disclosure, and Retention — We use your information only for the purposes for which it was collected and retain it no longer than described in Section 7.
  • Accuracy — We keep personal information as accurate and complete as necessary for the purposes for which it was collected.
  • Safeguards — We protect your information with reasonable safeguards (see Section 8).
  • Openness — This Policy makes our practices publicly available.
  • Individual Access — You may access and correct your information (see Section 10.1).
  • Challenging Compliance — You may challenge our compliance by contacting our Privacy Officer (see Section 13). We will investigate all complaints and, where a complaint is justified, take appropriate measures.

If you are not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada (www.priv.gc.ca).

10.4 Quebec Users (Law 25)

If you are a resident of Quebec, additional rights may apply under Quebec’s Act respecting the protection of personal information in the private sector, as modernized by Law 25. Because we do not use cookies or tracking technologies, do not profile visitors, and collect only the limited information you voluntarily submit through the contact form, our processing is minimal. You may contact our Privacy Officer to exercise your rights of access, correction, and, where applicable, withdrawal of consent or de-indexing.

11. Children’s Privacy

The Site is a business-to-business website intended for professionals and is not directed to children. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Policy from time to time to reflect changes in legal requirements or our practices. When we make material changes, we will post the revised Policy on this page and update the “Effective Date” and “Last Updated” dates above. Because the Site does not maintain user accounts or mailing lists, we cannot send direct email notifications of policy changes; we encourage you to review this Policy periodically. Your continued use of the Site after changes are posted constitutes your acceptance of the revised Policy.
